We are looking for an office manager for our office in Lucerne.

Requirements:

  • Swiss/EU citizenship, valid residency or work permit;
  • fluent German, English and Russian;
  • higher education;
  • minimum two years of experience in a similar position;
  • good knowledge of local Swiss HR, accounting and tax processes and terminology;
  • ability to work independently;
  • experience with the Oracle electronic document flow system is a plus.

Responsibilities:

  • provide general office support: communicate with property managers, vendors and suppliers (order stationery items, food and drinks, arrange cleaning and maintenance, and so on);
  • plan and control the office budget;
  • cooperate with various HQ departments located in Moscow (Sales, Legal, Logistics, HR, Accounting, Tax, Marketing, and others) as well as representatives of Yandex offices worldwide;
  • manage local staff records in cooperation with HR: create and cancel employment contracts, administer C&B program, handle social security payments and other details;
  • ensure compliance with local laws and regulations, especially in the areas of employment law and workplace safety;
  • maintain contracts, invoices, correspondence and other records;
  • provide documents to HQ as necessary;
  • prepare and control monthly payroll for our external provider;
  • create and handle expense reports (including for staff when needed);
  • help plan company outings and events;
  • manage document flow and archiving for all Swiss legal entities;
  • assist the international sales team with contracts, client documents and events.
